General delivery settings

Breww's general delivery settings control how orders are scheduled for delivery, how your own-vehicle delivery runs are optimised, and what appears on your delivery labels and documents.

You'll find them at Settings -> Delivery settings -> General delivery settings.

The page is split into tabs. This guide covers the Delivery options & defaults and Delivery label/document settings tabs. The remaining tabs have their own guides:

At the bottom of the page, View recent changes to these settings shows a log of who changed each setting and when.

General delivery options

These options are at the top of the Delivery options & defaults tab.

Prevent deliveries from being scheduled on days when customer is closed

Off by default. Customers can have delivery windows recorded against them, which say which days of the week they can receive deliveries. With this option enabled, Breww will refuse to schedule a delivery or collection for a day when the customer is closed. Leave it off and Breww will still warn you that the customer is closed, but will let you continue.

Automatically invoice orders when their delivery is dispatched

On by default, and we highly recommend leaving it on. Orders are invoiced at the moment their delivery is dispatched, so that "sales" are counted at the same time stock is reduced, which keeps things simpler from an accounting point of view and means no order gets forgotten about.

If you untick it, a second option appears: Automatically invoice orders when their delivery is completed. This is an alternative that invoices at the point the delivery is marked as completed instead.

Automatically update the scheduled date of a delivery/collection if it is dispatched early or late

Off by default. When enabled, dispatching a delivery on a different day to the one it was scheduled for changes its scheduled date to the day it was actually dispatched, so it appears on the logical date in the deliveries section. The trade-off is that you can no longer report on deliveries that were completed on a different date to the one they were scheduled for.

Note: Breww won't change the date if the delivery is on a locked delivery run.

Automatically lock own-vehicle delivery runs when marking them as dispatched

On by default. See Locking own-vehicle delivery runs for what locking a run prevents and who can unlock one.

Include draft orders in the "Items required" tab on the deliveries page

On by default. Controls whether draft (not yet confirmed) orders count towards the stock totals shown on the Items required tab of a delivery day, and in the racking that can be started from it.

Own-vehicle delivery run route optimisation

These options affect how Breww optimises routes for your own vehicles, and generally require Breww's Advanced Deliveries addon. If you're not subscribed, Breww shows a prompt in this section.

Optimisation objective

Controls what Breww asks its routing engine to aim for when building your delivery runs. There are four options:

• Balance visits among vehicles minimising total completion time (the default)
• Minimise the number of vehicles required and then optimise for completion time
• Balance visits among vehicles minimising total driving time
• Minimise the number of vehicles required and then optimise for driving time

We highly recommend using one of the "completion time" options. Optimising purely for driving time can sometimes produce unusual breaks and routes in order to reduce the time actually spent driving. If you choose a driving time option, Breww will show a warning to this effect.

Automatically recalculate subsequent delivery ETAs if deliveries are being completed behind/ahead of schedule

On by default. As your driver completes deliveries, Breww updates the estimated arrival times for the rest of the run to reflect how the day is actually going. This applies to runs whose drop times have been calculated, and requires the Advanced Deliveries addon.

Default delivery run start time

09:00 by default. The time Breww assumes a delivery run starts when optimising routes and calculating ETAs. A vehicle profile with its own earliest start time will override this for the vehicles using that profile.

How long does it take to load one typical delivery onto a delivery vehicle

3 minutes by default. Breww uses this to work out the loading and turn-around time between runs, which lets it generate more than one run for the same vehicle on the same day and keeps the afternoon ETAs accurate.

Generate driver breaks in delivery runs

Breww can schedule driver breaks into your runs, either as a time window (such as a lunch break) or based on driving time (such as driving regulations). See How to schedule delivery driver breaks into your delivery runs.

Default delivery date calculation

Breww can suggest a delivery date for each order to save you time. This section sets your account-wide fallback.

Note: These options are only used when you have no delivery rules set up, or when the order doesn't fall into a matching delivery area. A matching delivery area takes precedence over the settings here, and your delivery rules take precedence over both. Whatever Breww suggests, you can always override the date on an individual order or delivery.

Choose one of two methods:

• Single default day of the week - Breww suggests the next occurrence of the day you pick. The day you choose must be one of your working days, or Breww won't let you save.
• Fixed number of working days after invoice creation (the default, set to 1) - Breww adds this many days to the date the order was created. Enter 0 for same-day.

With either method, if the resulting date lands on a day you don't work, or a day the customer is closed for deliveries, Breww moves it forward one day at a time until it finds a date that works. You can turn the working-day part of this off with Use next working day if delivery falls on a non-working day, which is on by default.

Scanner assignment

These two options apply when you use a barcode scanner to assign containers to a delivery.

• Enforce that the container's site and the delivery's fulfillment site are the same - on by default. This stops you scanning a container that's at a different site to the one the delivery is being fulfilled from.
• Automatically remove a scanned container from its pallet - off by default. When a container you scan is part of a pallet, Breww takes it off the pallet for you so it can be assigned immediately, rather than asking you to disassemble the pallet first.

Working days

Tick the days of the week that you work. Monday to Friday are ticked by default. There's also a Bank/public holidays option in the same list, which decides whether bank and public holidays count as working days for you.

Alongside this, Bank/public holiday countries tells Breww whose holiday calendars to use. Breww lists the upcoming holidays for the countries you've selected, updating as you change them, so you can check you've picked the right ones.

Your working days feed the default delivery date calculation above, and the delivery date that your delivery rules produce.

Delivery label and document settings

These options are on the Delivery label/document settings tab.

Delivery labels

• Label best before display option - choose whether to show a "best before" date on your delivery labels. If you choose to show it, the date only appears when the drink has a "best before from delivery" set. Showing it where possible is the default.
• Print delivery labels for smallpack products - on by default.
• Print delivery labels for stock item products - off by default.
• Show gross volume on delivery labels and Show taxable volume on delivery labels - each can be set to Always (the default), Only for own stock, Only for guest drinks, or Don't show.
• Delivery labels print order - print labels sorted by the order/delivery (the default) or by the product. This applies to Breww's delivery labels, plus courier labels when you print the two combined.

Delivery documents

• Display loading order on delivery manifests - on by default. The loading order is shown when the manifest covers more than one delivery.
• Display order notes on delivery manifests and pick lists - off by default. "Delivery" notes are always shown; ticking this adds the order/invoice notes as well.
• Display assigned containers and batch numbers on delivery manifests and courier pick list PDFs - choose between not displaying containers, showing them for casks and kegs only (the default), or showing them for everything including smallpack. The equivalent setting for invoices and delivery notes is in Settings -> Order/invoice settings.

Delivery notes

• Delivery note footer text - free text added to the bottom of your delivery notes.
• Display courier name on delivery notes - off by default.
