Custom fields for customers, leads and suppliers

If Breww doesn't already have a field for something you need to record against a customer, lead or supplier, you can add your own. Custom fields appear on the add and edit forms for those records, can be filtered on in lists and reports, and can be filled in from imports.

Where to find custom fields

Go to Customers -> Settings & tools -> Custom fields, Leads -> Settings & tools -> Custom fields, or Settings -> Customer, lead & CRM settings -> Custom fields.

It's the same set of fields wherever you open it from. The entity types you tick on each field decide where that field actually appears.

Adding a custom field

Select New custom field and complete the form.

Name

What the field is called on the form. Names must be unique, must start with a letter, and can't reuse the name of a field Breww already has. "And" and "Or" aren't allowed either, because field names are used when filtering.

Which entity types does this field apply to?

Tick every kind of record the field should appear on, such as Customer, Lead or Inventory supplier. A field only shows on the form when the record is one of the types you've ticked, so you can keep supplier-only questions off your customer form.

Field type

How the answer is entered and stored:

  • Short text - a single-line text box.
  • Long text - a multi-line text box.
  • Date
  • Date & time
  • Decimal number
  • Whole number
  • True / False - a tick box.
  • Multiple Choice - a dropdown of options that you define.

Choosing Multiple Choice reveals an Options box, where you type each choice. You can add and remove rows until you have all the options you need.

Description

Optional, and shown as help text underneath the field on the form. This is a good place for a short instruction to whoever fills it in.

Required

When enabled, the field must be filled in before a customer, lead or supplier of a matching type can be saved. The form shows the field as required so your team knows.

Ordering your fields

On the custom fields list, drag the rows into the order you want. That sets the order the fields appear in when adding or editing a customer, lead or supplier.

Editing a field

Select the pencil icon. You can change the name, description, entity types and required setting at any time.

Once a field has been used on at least one record, its field type is locked and Breww will tell you so on the form. If you need a different type, create a new field instead.

Renaming a field also updates any saved customer and lead lists that filter on it, so your saved lists keep working.

Deleting a field

The bin icon deletes the field and, with it, every value stored in that field on every customer, lead and supplier. This can't be undone, so please be sure before confirming.

Using custom fields elsewhere

  • Filtering and saved lists - custom fields can be used in BrewwQL filters just like Breww's own fields. See Introduction to BrewwQL and Customer & lead lists.
  • Imports - most custom field types can be filled in from the customer and lead importers. Multiple-choice fields that accept more than one answer are the exception and aren't handled by the importers. See Importing customers.
