Configuring sites and locations

This guide is a complete reference to the settings available on a site, and on the locations within it. If you are setting sites up for the first time, start with Creating sites & locations.

To change a site's settings, go to Settings -> Sites & locations, open the site with the view button beside it, then choose Edit site.

Basic site settings

Name

A short name for the site. It must be unique across your sites and is limited to 30 characters, so that it stays readable everywhere Breww shows it.

Colour

The colour used for this site's badge throughout Breww, and for its pin on the sites map at the bottom of the sites list. Breww suggests an unused colour for you when you create a site, but you can pick any colour you like.

Default bonded status

This sets the bonded status that new locations in this site will be created with. It does not change locations that already exist, and it is only a default: individual locations within a site can have a different bonded status. When they do, Breww shows a Varied badge next to the site's default bonded status on the sites list, and a warning icon next to the location on the site's page.

The options are:

• Bonded Stock here is held in duty (or excise tax) suspension.

• Non-bonded Duty or excise tax becomes payable when stock is moved here.

• External bonded (Stock transferred here remains our duty liability) A third party's bonded premises, such as a customer's bonded warehouse, where you remain liable for the duty. For duty purposes Breww treats this the same as your own bonded stock, so moving stock here does not trigger duty.

• External bonded (Mark all stock transferred here as no longer your duty liability) A third party's bonded premises where the third party takes on the duty themselves and deals with all duty matters past the transfer point. When stock is transferred here, Breww records it as non-dutiable rather than duty-paid. If those goods are later transferred back to you, Breww assumes the third party has already handled and paid the duty, and treats the goods as duty-paid.

When Breww auto assigns stock to a delivery for a customer who holds stock at one of your external bonded locations, that stock is offered first.

Site group

The site group this site belongs to. Site groups let you generate a separate duty return (or excise tax report) per group of sites, which is how you run more than one business from a single Breww account. See Setting up multiple businesses within a single Breww account for the full picture, and use the Site groups button on the sites list to create and rename groups.

Changing a site's site group also updates the site group on the site's locations, other than any location whose group has been set individually by the Breww team.

Show in stock breakdown on products

On by default. When ticked, this site appears in the per-site stock breakdown shown on your product and drink pages, and in the stock calculation breakdown. We recommend leaving this on so that stock held at the site is visible when you are looking at a product.

Order fulfillment options

Can be used to fulfill orders

On by default. If this site is used with a contract brewer, a contract packager, or similar, you may want to prevent it from ever being assigned orders to deliver. Untick this box and Breww will never pick the site to fulfil an order. For more on how the fulfillment site is chosen, see How to set which site will be used for which customers.

Breww will stop you unticking this in a few situations, because the result would leave orders with nowhere to ship from:

• You must always keep at least one site that can fulfil orders for all customers.
• You cannot untick it while customers are linked to the site. Unlink those customers first.
• You cannot untick it if this is your default fulfillment site in Order/invoice settings. Choose a different default there first.

When you do untick it, Breww reassigns any outstanding orders currently set to ship from this site to another suitable site. Orders that have already passed the duty point are left as they are.

Only fulfill orders for linked customers

Shown only when the site can be used to fulfil orders. If ticked, the site will only ever be used for customers who are linked to it, and orders for any other customer will be fulfilled from elsewhere. This is the setting to use for consignment or sale-or-return stock: see Consignment/Sale or return stock.

Consider stock available for fulfillment from other sites

Shown only when the site cannot be used to fulfil orders. When ticked, stock at this site is still counted as available when Breww works out whether an order can be fulfilled.

This affects the available stock figure only. The site still cannot be used to fulfil an order, so the stock would need transferring to a site that can before the order ships. On the sites list, a site with this ticked shows No (stock available to other sites) in the fulfillment column.

Use site address on delivery notes

Shown only when the site can be used to fulfil orders. If ticked, orders delivered from this site show the site's own address on the delivery notes, rather than the business address from the applicable invoicing details.

Automatic assembly/disassembly settings

Shown only when the site can be used to fulfil orders, and only relevant when Breww is auto assigning smallpack stock. There are two settings, Auto assemble smallpack and Auto disassemble smallpack, and each offers three choices:

• Use account default setting (the default) follows whatever you have chosen in Settings -> Delivery settings. Breww shows you what that currently is.
• Yes, auto assemble / Yes, auto disassemble turns the behaviour on for this site.
• No, require manual assembly / No, require manual disassembly turns it off for this site.

These apply when the delivery's fulfillment site is this site. For what auto assembly and disassembly actually do, see Product assembly.

Site address

The site's address is used in three places:

• Breww measures the distance from each site to the customer when choosing which site should fulfil an order. A site with no address is assumed to be at your main address, so we recommend setting an address on every site.
• It is shown on delivery notes if Use site address on delivery notes is ticked.
• It positions the site on the sites map at the bottom of the sites list. Only sites with an address that Breww has been able to locate appear on the map.

Related invoicing/labelling details

Related invoicing details

Optional. If you choose a set of invoicing details here, then:

• Those invoicing details are used for orders fulfilled from this site, unless there is an override set on the customer.
• The related phone number, address and logo appear on stock labels for stock packaged at this site.
• The related phone number, address and logo appear on delivery labels for orders fulfilled from this site.

It also determines which accountancy integration the site's entries are sent to, where the chosen invoicing details have an accountancy integration linked to them. If you leave this blank, the site follows the default invoicing details from your Order/invoice settings. Any invoicing details set on a customer take priority over the site's. Business name to show on stock, delivery & pallet labels

Optional. Overrides the business name set in your label settings, for labels produced at this site only. Leave it blank to use your label settings.

Choosing your default sites

The Defaults column on the sites list has two buttons per site:

• Default site for POs/IRs (the purple receipt icon) Breww pre-selects this site as the delivery site when you generate purchase orders from a pre-brew stock check.

• Default site for returning containers (the brown arrow icon) Breww pre-selects the first location at this site when you record containers being returned.

A site that is currently one of these two defaults cannot be deleted. Move the default to another site first, and the delete button will reappear.

Location settings

Locations are subdivisions of a site. Add one from the site's page using the New location button.

Name

The location's name, which must be unique within its site and is limited to 30 characters.

Site

Hidden when you are creating a location, since the location is created in the site you started from. When editing an existing location, you can move it to another site, and all of the stock in the location moves with it.

Breww prevents the move in some cases:

• The field is locked when the location is its site's default packaging location or default inventory receipt location. Make a different location the default first.
• The field is locked when it is the only location at its site, because a site cannot be left with no locations. Create another location at that site first.
• You can only move a location to a site in the same site group. Moving stock between site groups is a duty movement, not a settings change.
• At least one location at the original site must keep that site's site group.

Bonded status

A new location starts with its site's default bonded status, and you can change it before saving. The choices and what they mean are the same as for the site's default bonded status, described above.

Two further rules apply:

• A site's default packaging location must be bonded, so you cannot make it non-bonded.
• If a site has vessels, it must keep at least one bonded location, so you cannot change or delete its last bonded one.

Default for inventory receipt and Default for packaging

Each site has one location that is used by default when inventory is received, and one that is used by default when you package. Set them with the two buttons in the Defaults column on the site's page.

The packaging button is only available on locations that are bonded and in the same site group as the site. On other locations it appears greyed out.

Deleting and restoring sites and locations

Breww protects you from deleting things that are still in use:

• A location that holds product stock or stock item stock cannot be deleted. Move the stock elsewhere first.
• A location that is a site default cannot be deleted. Choose a different default first.
• A site cannot be deleted while equipment is assigned to it, or while an enabled integration is using it as its fulfillment site.

If a site or location is deleted while it still holds stock, it stays visible on the sites list and the site's page with a Deleted but has stock badge, so the stock is never hidden from you. Both can be restored: open the site and use Restore site, or use the restore button on the location's row.

Linking customers to a site

At the bottom of a site's page you can link customers to the site with Link customer to site. Deliveries to a linked customer will use this site's stock ahead of any other site, or exclusively, depending on how the customer is configured. Each linked customer shows either Only uses this site or Prioritises this site, but can use others, which is controlled on the customer's own page.
