Automatically emailing reports on a schedule

Any saved custom report - whether it's an aggregate report or a raw data report - can be automatically emailed on a schedule that you define. This is perfect for a regular Monday-morning sales summary, or a monthly stock report sent straight to your accountant.

Creating a scheduled delivery

  1. Build your report and get it working as you want. We recommend using relative date ranges (like "last 12 months") rather than fixed dates, so the report stays useful over time.
  2. Save the report for future access.
  3. Open the saved report and scroll down to the scheduled deliveries card.
  4. Click Add scheduled delivery of this report.

Note: You need the export data permission to schedule report deliveries. If the button is disabled, please contact an account admin.

Choosing who receives the report

You can choose who the report is emailed to:

  • Send to my own email address - tick this (it's on by default) to have the report sent to you.
  • Additional email addresses - add any other addresses that should receive the report, such as colleagues or your accountant.

You must have at least one recipient, and Breww automatically removes any duplicate addresses so nobody receives the report twice.

Choosing when the report runs

There are two ways to define the schedule, chosen with the Schedule type option:

Simple schedule starting now

Pick a time of day and how often the report should repeat (for example, every week on a Monday, or every month on the 1st). The first delivery will be made on the next possible date, and the schedule repeats from there.

Advanced scheduling

If you need more control, choose Advanced scheduling and use the schedule builder to define exactly when the report should run - for example, "at 06:00, only on Monday and Thursday" or "at midnight on day 1 of the month". Advanced schedules must have at least one day between runs.

What's in the email

Each delivery includes the report attached as an Excel file, along with a link back to the report in Breww. Aggregate report emails also include an image of the report's chart.

Managing your scheduled deliveries

The scheduled deliveries card on each saved report page lists that report's schedules, including the recipients, a plain-English summary of the schedule, when it last ran and when it will next run. Use the pen button to edit a schedule, or the bin button to cancel it.

On the reporting dashboard, saved reports with an upcoming scheduled delivery also show a green "next run" badge, so you can see at a glance which of your reports are on a schedule. See Navigating the reporting dashboard for more on the dashboard.
