Counting a stock take on screen

Counting on screen gives you and your team a shared sheet inside Breww. There is no file to download or upload, everyone counting works on the same sheet at once, and Breww checks each row as it is touched so mistakes are caught while you count rather than at the end.

To use it, choose On-screen as the export type when you start your stock take. The sheet appears on the stock take's own page, filled in with your current stock for everything the stock take covers.

Counting together

Everyone with access to the stock take sees the same sheet, and changes appear for the others as they are typed. A pill in the top corner of the page shows how many people are counting, and who they are. Nothing is applied to your stock until somebody submits.

Each change is saved as you make it, so there is nothing to save as you go and no risk of losing a count if you close the page.

Working through the sheet

The sheet behaves like the spreadsheet it replaces. Every column can be edited, and you can add rows for stock that wasn't listed and delete rows for stock that shouldn't be there.

  • Use the search box above the sheet to filter it down to what you are counting. Several people can each search for their own section.
  • Type into the quantity column to correct a count. If the figure is already right, leave it alone.
  • Stock item name, Product code and Location are dropdowns, so you can only choose something Breww recognises.
  • Location combines the site and the location into one column, written as Site - Location.

Some columns are filled in from the item they describe and can't be edited: Type and Sub-type on a stock item sheet, and Product name on a product sheet. They update themselves when you change the item the row is for.

Note: A stock take treats anything it covers but doesn't see as zero, so deleting a row clears that stock when the stock take is applied. Only delete a row for stock that shouldn't exist at all.

Adding a row

Press Add a row to record stock that isn't already listed. Breww asks for what it needs and nothing more, so the fields you see depend on what you pick.

  • A stock item asks for a batch code and an expiry date only when that item is tracked by them, and offers its own unit of measure by default.
  • A product needs the batch code of a real batch of a beer that product uses. A mixed pack must not have one, so the field isn't offered.
  • A cask or keg counted individually must say which container it is, either by container code or by non-returnable number, but never both.
  • A row naming a tracked container must have a quantity of 1, since it counts one physical container.

Save & add another keeps the modal open so you can carry on adding rows in the same location without picking it again.

You can also right-click anywhere on the sheet to add a row or delete the row you clicked.

Deleting rows

Select the rows you want to remove and press Delete selected rows. The whole selection goes in one action.

If you delete something by mistake, the Recently deleted panel below the sheet will undo it, putting every row of that deletion back where it was. The last few deletions are kept, and the list is shared, so you can undo a deletion somebody else made.

Rows that need attention

Breww checks each row as it is touched. A row it would refuse turns red, and hovering over it shows why. Every flagged row is also listed below the sheet with its row number and the reason, and a counter beside the buttons tells you how many need attention.

These are the same checks that run when you submit, so fixing them as you go means there is nothing left to fix at the end. They never stop you counting, and they never stop you submitting - they only tell you what would be refused.

Submitting your count

When everyone has finished, press Submit stock take at the top of the page. If any rows still need attention, Breww will tell you how many will be rejected before you confirm.

Breww then checks your count in full and shows you every change it is about to make, exactly as it does for an uploaded file, so you can review it before anything touches your stock. See Submitting your count for what happens next.

Your submitted sheet is also kept as a downloadable file on the stock take, so you have a record of exactly what was submitted.

If the check finds a problem with your count as a whole, Breww hands the sheet straight back with the reason and all of your counts intact, so you can correct it and submit again.

Things worth knowing

  • Two locations that would read the same. Because the sheet combines the site and location into one column, two different site and location pairs that produce the same text can't be told apart. If your sites and locations would do this, Breww will say so when you try to start the stock take, naming both, so you can rename one in your Sites and Locations settings or use the Excel export instead.
  • Renaming a location mid-count is safe. The sheet holds on to the locations it started with, so a rename won't strand a row you have already counted.
  • Dates and numbers follow your brewery's format. Type them the way you normally would.
