Hop contracts

If you contract with your hop suppliers for a quantity of hops to be drawn down over a period, Breww can track those contracts for you and reduce the remaining quantity automatically as deliveries arrive.

To find them, go to Settings -> Stock items & purchasing -> Hop contracts. You'll need the General production permission.

Adding a hop contract

Click Add hop contract and complete the form:

  • Supplier - the supplier you hold the contract with. Only your inventory suppliers are listed.
  • Start date and End date - the period the contract covers. The end date must be after the start date.
  • Stock item - the hop the contract is for. Only stock items of type Ingredient whose sub-type is set to handle Hops are listed, and obsolete stock items are excluded. If the hop you want isn't in the list, check its sub-type in Stock item sub-types.
  • Hop quantity - the total quantity contracted, in that stock item's stock tracking unit.
  • Code - your reference for the contract. Codes must be unique within your brewery.

Each contract covers one hop from one supplier. If a single agreement covers several hop varieties, create a contract per variety.

How deliveries are allocated to contracts

When an inventory receipt containing a hop is added to stock, Breww looks for contracts that match, and allocates the received quantity to them. A contract matches when all of the following are true:

  • It's for the same stock item.
  • It's with the same supplier as the inventory receipt.
  • Its start date is on or before the inventory receipt's delivery date.
  • It still has quantity remaining.

Where more than one contract matches, Breww allocates to the one with the earliest end date first, so the contract closest to running out of time is used up first. If the delivery is larger than that contract's remaining quantity, the surplus rolls onto the next matching contract, and so on. Anything left after all matching contracts are full is simply received into stock as normal, without being allocated.

The hop contracts dashboard

The dashboard is split into three cards:

  • Hop suppliers - each supplier you have open contracts with, and the total quantity still to be delivered across all of their contracts.
  • Open hop contracts - every contract with quantity still remaining. Alongside the dates you'll see the Time progress through the contract period and the Remaining hop quantity with a percentage, so you can quickly spot a contract that's running out of time faster than it's running out of hops.
  • Closed hop contracts - contracts that have been fully drawn down.

A contract moves to Closed when its remaining quantity reaches zero, not when its end date passes. A contract that's past its end date with quantity left will still be shown as open.

Viewing and correcting a contract

Open a contract to see its details and a Hop orders table listing every inventory receipt that has been allocated against it, with the quantity taken by each. Three actions are available on each row:

  • View inventory receipt - jump to the receipt the allocation came from.
  • Move to a different contract - reassign that allocation to another contract. Only contracts for the same hop and the same supplier that have at least that much quantity remaining are offered. The quantity is given back to the original contract and taken from the new one.
  • Unlink inventory receipt from this hop contract - remove the inventory receipt's allocations from this contract entirely, returning the quantity to it. The stock stays in Breww; only the link to the contract is removed.

Editing a contract

Use Edit hop contract to change the start date, end date or total hop quantity. The supplier, stock item and code can't be changed once the contract has been created.

The quantity can't be reduced below the quantity that has already been delivered against the contract. Breww shows you that figure in the form's help text.
