Rounding SEK totals to the whole krona (öresavrundning)

Breww can round the totals of your orders, invoices and credit notes in Swedish krona (SEK) to the nearest whole krona (öresavrundning). The rounding is shown as its own line after VAT, so your customer is asked to pay a whole-krona total and your VAT stays exactly as calculated.

How the rounding works

  • The total including VAT is rounded to the nearest whole krona. Exactly 50 öre rounds up.
  • VAT is always calculated on the unrounded amounts. The rounding is added after VAT and has no VAT of its own.
  • The difference is shown on its own line just above the total, which reads Öresavrundning on Swedish-language accounts (Rounding in English). It can be positive or negative, and is never more than 50 öre either way.

For example, an order of 38,97 kr plus 9,74 kr VAT comes to 48,71 kr, so Breww adds 0,29 kr of rounding and the total is 49,00 kr:

An order's items with an Öresavrundning line of 0,29 kr between the VAT and the 49,00 kr total

The amount due is the rounded total, so a payment of 49,00 kr settles this order in full.

Rounding is only available for SEK. Orders and credit notes in any other currency are never rounded.

Turning rounding on

  1. Go to Settings -> Sales, orders & invoices -> Order & invoice settings.
  2. In the Pricing & payment settings section, find Round payable totals in these currencies.
  3. Select SEK - Swedish Krona, then save the page.

The Round payable totals in these currencies setting with SEK - Swedish Krona selected

The setting only appears if SEK is your base currency or one of your other usable currencies. See Multi-currency support to add it. New Breww accounts with SEK as their base currency start with rounding already on.

To stop rounding, deselect SEK - Swedish Krona and save the page.

What happens to your existing orders and credit notes

When you save a change to this setting, Breww updates your draft orders and draft credit notes in SEK straight away, so they gain (or lose) the Rounding line. A message confirms this when you save.

Everything else keeps the total it already has:

  • Orders that have already been invoiced, and finalised credit notes, never change.
  • Confirmed orders aren't updated when you change the setting. A confirmed order picks up the new setting the next time it's edited, for example when you change a line or a price. If you invoice it without editing it first, it's invoiced with the total it already had.
  • Orders imported from your ecommerce and POS integrations, and credit notes imported from them, are never rounded, so they always match the platform they came from.

Repeating orders use the setting as it is when each new order is created.

Credit notes

Credit notes in SEK are rounded the same way. In this example, 12,99 kr plus 3,25 kr VAT comes to 16,24 kr, so the rounding is -0,24 kr and the credit note total is 16,00 kr:

A credit note's items with an Öresavrundning line of -0,24 kr and a 16,00 kr total

The rounded total is the amount you can allocate to invoices or refund. See Credit notes.

Where the rounding is shown

The Rounding line appears everywhere an order's or credit note's totals do:

  • The order and credit note pages, and while you're creating an order
  • The delivery page
  • Your trade store basket, so customers ordering online see the same whole-krona total they'll be invoiced
  • Invoice and credit note PDFs
  • E-invoices (UBL), as the payable rounding amount
  • The Breww API, as the payable_rounding_amount field

PDF templates

Breww's own PDF templates show the Rounding line automatically, only on documents that have been rounded.

If you use a custom PDF template, it needs a Rounding line of its own, or the lines on the PDF won't add up to the rounded total. If your account used SEK when rounding was introduced, Breww added the line to your custom templates for you wherever it could. When you turn rounding on, Breww checks your custom templates and shows a warning listing any that still don't have a Rounding line, with a link to edit each one. See Customising invoice, delivery note & credit note PDF templates for the code to add.

Accounting integrations

Breww's VAT figures are never changed by rounding, so the rounding is sent to your accounting software as its own amount, without VAT:

  • Fortnox - each rounded invoice and credit note includes a Rounding row at 0% VAT, booked to the account Fortnox uses for öresutjämning (normally 3740). The totals match Breww's whether Fortnox's own Round off (Öresutjämning) setting is on or off. See Fortnox.
  • Visma eAccounting - the rounding is booked to the Öres- och kronutjämning account in Visma, without VAT. See Visma eAccounting accountancy integration.
  • Sage 50 (UK & IE) - the data file includes a Rounding row for each rounded document, with tax code T9, posted to your Adjustment account (or your default sales account if you haven't set one). See Manual accountancy integrations.
  • Custom API accountancy sync - the rounding is included as the payable_rounding_amount field. See Custom API accountancy integration.

Breww's other accounting integrations can't take a rounding amount yet. Rather than send a total that doesn't match, Breww won't upload a rounded invoice or credit note to them, so leave rounding off if you use one of them, and contact the Breww support team if you'd like to round SEK totals.
