Understanding the stock item page
Every stock item has its own page, bringing together what you hold on the shelf, how the item is set up, and the suppliers, recipes and records it is connected to. To open it, go to Stock items and select the stock item's name.
The page has three parts:
- Stock, at the top, showing what you physically hold.
- Details, showing how the item is set up.
- A row of tabs for the item's suppliers, where it is used, its purchasing history, its stock log and its files.
Stock
Stock summary
The Stock section opens with a row of figures summarising the item's stock.
| Figure | What it shows |

| On hand | The total quantity in stock. When a reorder level is set, a note underneath says whether stock is above the reorder level, at or below it, or out of stock, and the figure is highlighted to match. |
| Stock value | The value of the stock on hand, based on the average landed cost of the batches in stock. If no landed costs have been recorded, it shows Not known. |
| Nearest expiry | The earliest expiry date of any batch in stock, with that batch's code. It is highlighted when the batch expires within 30 days, and marked Expired once the date has passed. This figure only appears for expiry-tracked items. |
| Reorder level | The quantity at which the item counts as running low. If none is set, select this figure to go straight to the edit page and add one. |
The reorder level is the Reorder quantity setting on the stock item. To be emailed when an item drops to its reorder level, add an address under Low inventory notifications in your general email settings.
Batches in stock
Below the summary is a list of every batch of the item currently in stock, with its expiry date, batch code, location, current quantity and landed price per unit. Ingredients with batch attributes, such as alpha acid for hops, also show those attributes. Batches that have been used up are not listed.
The list is sorted with the soonest expiry first. You can:
- Sort by any column by selecting its heading.
- Search by batch code, location or site.
- Page through the list 10 batches at a time.
Each batch has buttons to:
- Adjust quantity or details: change the quantity, price or details of the batch. See Adjusting stock item stock.
- Move to another location: record that the batch is now held somewhere else.
- Edit batch attributes: record the actual attribute values for that batch. This only appears for ingredients with batch attributes.
For a guest beer stock item that has been migrated to a packaged product, the stock is held against the product instead, and this section shows a View product button in place of the batch list.
Details
The Details section groups how the item is set up:
- Item: the stock item's type and sub-type, its unit of measure, and whether it is tracked by batch number, expiry date, both or neither.
- Costs per unit: the expected purchase price, the latest landed cost, the average landed cost across all receipts, and the average value of the stock currently on hand.
- Default attributes: for ingredients, the attribute values expected for a typical batch.
- Guest beer: for guest beer stock items, the related product, beer, container type, volumes, ABV and degrees Plato. Legacy guest beer stock items also show a Migrate button here.
- Notes and Receipt notes, when the item has any.
- Recipe substitutions: for items that can be used on recipes, the replacement ingredients Breww can suggest when this item is out of stock. Use the add button to set one up. If this item is itself a substitute for other items, a note links to the items it can replace.
Tabs

| History | The five most recently delivered purchase orders and inventory receipts that include the item, with links to view them all, and a price trend chart of the landed price per unit on each inventory receipt. |
| Stock log | Every change to the item's stock, with the date and time, the effect, the quantity afterwards, the reason and who made the change. |
| Files | Files you have uploaded against the item, such as specification sheets or certificates of analysis. |
Actions
The buttons at the top of the page are:
- Add stock: add a quantity of the item to stock without an inventory receipt.
- Reduce stock: record stock that has been lost or spoiled. This appears for guest beer stock items linked to a product.
- Edit: change the item's settings, including its reorder quantity.
- More: a menu containing the actions below.
Marking a stock item as obsolete
When you stop using a stock item but want to keep its history, select More -> Mark as obsolete. An obsolete item can no longer be used, and shows an Obsolete badge on its page. To use it again, select More -> Reactivate.
Deleting and restoring a stock item
To delete a stock item, select More -> Delete and confirm.
A stock item can only be deleted once it has no stock on hand. While it still holds stock, the Delete option is unavailable and reads Delete (reduce stock to zero first). Reduce the stock to zero first, or mark the item as obsolete instead.
A deleted stock item can be restored. Its page shows the date it was deleted, with a Restore stock item button. If another stock item has since been given the same name, rename that one before restoring.
Migrating a legacy guest beer
Legacy guest beer stock items have a More -> Migrate to packaged product option, which moves the guest beer onto a packaged product so it can use auto-assembly, theoretical maximum, duty tracking and the other features of packaged beers.
