Managing your Breww billing

Your Breww subscription is managed from Settings -> Billing. This guide explains what you'll find on that page, what you can change yourself, and what needs a word with the Breww team first.

Only users with the Admin permission can open the billing page or make any of the changes below.

Your Breww subscription

The top of the page shows your current subscription status, followed by a card headed Your Breww subscription (for [volume] per year).

That volume figure is what your price plan is based on. Breww takes the highest of:

  • the production already recorded in Breww for this calendar year,
  • last calendar year's total (or the estimate you gave for it, if that's higher), and
  • your production estimate for this calendar year.

Inside the card is your price plan, showing the volume the plan covers and the monthly price. If you're already subscribed, it's marked You are on this plan.

The contract is rolling monthly. The plan amount is charged monthly in advance and you can cancel at any time.

Note: If your plan is one Breww no longer offers to new customers, you'll see a warning that upgrading is a one-way move, as you won't be able to come back down to it afterwards.

Changing your price plan

There's no button to move yourself up or down the price plans once you're subscribed. Your plan follows your production volume instead, which you control through your production estimate.

Use Manage billing volume at the top of the billing page to open the Estimated production total page, then:

  1. Enter the total you expect to produce and record in Breww this calendar year, across all of your drink types. Include anything produced by or for a third party, and anything you contract package for other businesses.
  2. Save.

What happens next depends on which way the figure moved:

  • If a cheaper plan now applies, Breww moves you onto it straight away, and your next invoice reflects the new price.
  • If a more expensive plan would apply, nothing changes automatically. The Breww team is notified and will review it with you, so an increase is never applied behind your back.

The same page lists your Historical billing volumes, with the estimate and the actual total Breww recorded for each calendar year. Your first year is flagged if production in Breww only started part-way through it, and you can open the usage log behind any actual figure.

Warning: Lowering your estimate can change what you're charged immediately, so please only enter a figure you're confident in.

Billing currency

You can only choose your billing currency before your subscription first starts, using the Change billing currency option on the subscription card. Once you're subscribed the option disappears, and changing currency after that needs a support ticket.

Payment methods

Breww always accepts a credit or debit card. Depending on your billing currency, you may also be able to set up a direct debit: Bacs for GBP, SEPA for EUR, or ACH for USD. Direct debit can only be set up while your account is in good standing, because it's too slow to be a useful way out of an overdue invoice.

Use Add/update payment details to add one. This takes you to Breww's payment provider to enter the details securely, then brings you back. The new method automatically becomes your default, and if you had an overdue invoice and added a card, Breww will attempt to collect it right away.

Each saved method is listed with the date it was added. Against any method that isn't currently the default, you can:

  • Make default payment method - future charges use this method instead.
  • Delete payment method - removes it from your account. You can't delete the method currently in use, so make another one the default first.

If you pay by bank transfer

Some accounts are set up to pay Breww's invoices manually rather than having payment collected automatically. If that's you, the Payment methods card shows the bank details to pay into and how many days after the invoice date payment is due, rather than a list of cards.

Those bank details are unique to your account and should only ever be used to pay your Breww subscription. If you'd rather switch to automatic payments by card or direct debit, get in touch with the Breww team.

If a payment fails

If a subscription payment fails, the top of the billing page turns red and tells you what's happening: how many times Breww has tried, when it will try again, and a link to the unpaid invoice. A Recent payment attempts table shows each attempt with the reason it failed.

If the invoice stays unpaid for three weeks from its original date, access to your Breww account is locked. Where Breww can work out the exact date, it's shown in that message so there's no guesswork.

The fix is usually to add a working payment method with Add/update payment details, which also triggers an immediate retry when the new method is a card.

Note: Bacs direct debit payments take around six days to clear, so a payment showing as processing rather than failed just needs a little time.

Account credit

If your account is in credit with Breww, a message on the subscription card tells you the amount. You'll still be invoiced each month, but no payment will be taken until the credit has been used up. The credit figure includes any VAT that may be charged.

Breww addons

Breww is fully featured out of the box, and addons extend it further in particular areas. The Breww addons card lists each one with its status:

  • Subscribed, or Free trial ends in [time] while you're still trialling it.
  • Not subscribed.
  • Coming soon for addons that aren't available yet.

Use the information button against an addon to open its own settings and find out more. Some addons can be cancelled directly from this card with the red cross, in which case you lose access to that functionality immediately. Others have no cancel button because they need tidying up first, such as removing connected devices, so please raise a support ticket to cancel those.

If several Breww accounts share one billing account, addons still work per account. The addons listed here apply only to the account you're currently in, and each account subscribes and unsubscribes separately.

Billing details

The Billing details card holds the Billing email, Business name and Business address that appear on Breww's invoices to you. Use Edit to change them.

These are deliberately separate from the business name and address used elsewhere in Breww, so changing them here doesn't affect your own customer invoices or delivery notes. Breww also uses the billing email to let you know if a subscription payment fails, so it's worth keeping current.

Your Breww invoices

View invoices at the top of the page lists every invoice Breww has issued to you, newest first, so you can download copies whenever you need them.

Accounts sharing one billing account

If your billing account covers more than one Breww account, a banner at the top of the page names them all and reminds you that the billing shown is the combined total for all of them.

Cancelling

The Cancel subscription & leave Breww section at the bottom of the page opens the cancellation form. See Cancelling Breww subscription for what to expect and what happens to your data.

If you've already cancelled but your paid period hasn't ended yet, the top of the billing page offers Reactivate Breww subscription so you can change your mind without losing anything.

Test accounts

On a test account, the billing page shows how long the test has left rather than a subscription. When you're ready for the real thing, the Want to use Breww for real? card walks you through starting a full account.

Warning: Ending a test account instantly and irreversibly destroys the test data, and none of it is transferred to your new full account. You have to tick a box confirming you understand this before you can continue.

The reverse is also possible. If you started a full account but haven't subscribed yet, you'll find an option to switch to a free test account pre-populated with example data instead.

Telling us who referred you

If a friend pointed you towards Breww, there's a Were you referred to Breww by a friend? prompt on this page in your first couple of weeks so we can thank them. Once that window has passed the option is no longer shown.
