Leads

In Breww, 'Leads' refer to potential customers that are managed differently from your regular customers. The Leads section of Breww allows you to track the progress of a prospective customer through your sales pipeline.

Adding a Lead

To add a lead, head to Leads->Add lead. Here, you can add the key information surrounding the lead. Adding the lead will mean that it now displays on the 'lead pipeline'.

Adding a lead via the Leads map

By selecting View->Leads map, a map showing your current leads will be displayed. However, you can zoom in to a specific area and click on businesses on the map that could be potential leads. This will draw the business details, as well as images, to see if it is the sort of business that you would like to stock your product. By selecting Create as lead, you can quickly add the business to your leads pipeline. This is discussed in further detail here.

Managing your leads pipeline

Once you have added your leads, you can easily move them between statuses by clicking on them and dragging them into the status you choose. Alternatively, you can select the edit pencil on the lead to change the status.

Adding your own lead statuses

Breww has some system-set lead statuses, but these can be customised to make your leads pipeline work for you. To create or edit your lead statuses, head to Leads -> Settings & tools -> Lead statuses & loss reasons (also reachable from Settings -> Customer, lead & CRM settings -> Lead statuses & loss reasons). You can then select Add lead status, or the pencil icon on a status to edit it.

Each status has:

  • Name - Breww capitalises this for you.
  • Colour - the colour of the badge used for the status throughout Breww. Breww picks a readable text colour to sit on it.
  • Show on leads dashboard - whether the status appears as a column on your leads pipeline. This also controls whether the status is included in CRM reporting, so untick it for statuses you consider finished with.
  • This is a loss type - select this when the status represents the end of your outreach to a lead you now consider lost. Leads moved into a loss type status must be given a loss reason.

Reordering your statuses

The order of the statuses on this page is the order used across Breww, including the columns on your leads pipeline. Drag and drop the rows into the order you want and Breww saves it straight away.

Deleting and restoring a status

The bin icon deletes a status. If any leads are currently in it, Breww asks you to choose the status they should move to instead, and records the move on each lead's history.

Deleted statuses that have been used before are kept in a Deleted lead statuses card at the bottom of the page, and can be restored from there if you need them back.

Loss reasons

You can add a loss reason from the same page by selecting Add loss reason. You may be losing the lead for various reasons, but some examples here would be 'Not looking to change beers available' or 'The pub is tied', for example. This will then be displayed when reporting so you know why you have lost the lead.

Deleting a loss reason stops it being applied to any new losses, but you can still report on the losses that already used it.

Any leads that you would like removed/deleted from Breww, including those that have been moved to a lead status not shown on the leads dashboard and are considered 'lost', can be removed by heading to Leads->View -> Leads list.

Lead and customer sources

Sources record where a lead or customer found you, so you can report on which of your efforts are actually bringing in business. Typical sources are things like a trade show, a referral, your website or a wholesaler introduction.

To manage them, head to Leads -> Settings & tools -> Lead/customer sources, Customers -> Settings & tools -> Lead/customer sources, or Settings -> Customer, lead & CRM settings -> Lead/customer sources.

Select Add new to create a source, or the pencil icon to rename one. Names must be unique within your brewery. The list shows how many leads and how many customers are currently using each source.

You then set the source on the lead or customer itself, and a source stays with a lead when it's converted into a customer, so you can see which sources go on to produce paying customers.

Deleting a source removes it from every lead and customer currently set to it, and can't be undone.

Convert a Lead to a Customer

  1. From your lead pipeline, select View details on the lead.
  2. Click View.
  3. Select the blue Convert to customer button.
    • This will move the lead out of the Leads section and mean they have been converted into a customer.

Convert a Customer to a Lead

If you need to reverse this process:

  1. Open the customer's profile.
  2. Select More actions Convert to lead.
