Products available for sale report

The Products available for sale report gives you a live snapshot of the products you currently have available to sell, grouped by beer and product type. It's ideal for sharing an up-to-date availability list with your sales team.

Where to find it

You can open the report from either:

  • Reporting -> Pre-built Sales reports -> Product availability -> Products available for sale, or

  • Products -> Tools & reports -> Available products report

What the report shows

Products are grouped by beer (for packaged beers) and by product type (for everything else). For each product, the report shows:

  • Product code and Product name

  • ABV, where applicable

  • Available in format - the quantity available in the product's current format

  • Max available - the maximum quantity available if you assemble or disassemble stock from other formats (for example, assembling single cans into 12-packs). See Understanding stock levels for more on how these figures are calculated.

  • Price - the price from the selected price book, including any banding discounts

Filtering the report

A row of filters at the top of the report lets you tailor what's shown. Each filter applies as soon as you change it:

  • Site - show stock from all sites, or limit to a single site.

  • Price book - choose which price book the displayed prices come from. Your default price book is selected automatically.

  • Type - filter by a product type or a container type.

  • Stock availability - choose whether to include out-of-stock products (see below).

Including out-of-stock products

By default, the report only lists products that are currently in stock (In-stock products only). Products with nothing available in their current format, and no stock that could be assembled from other formats, are hidden.

To see every product regardless of stock level, change the Stock availability filter to Include out-of-stock products. Out-of-stock products then appear alongside the rest, showing their real availability figures. These may be 0, or negative where more has been committed to orders than you currently have in stock.

This is helpful when you want a complete product list to share with customers or your sales team, or to spot products that have sold out and may need packaging.

Exporting the report

Use the Export button to download the report as an Excel or CSV file. Exports always match the filters you have selected on screen, including the Stock availability filter, so if you have chosen to include out-of-stock products they will appear in the exported file too.
