General product settings

Breww's general product settings control how stock availability is worked out, how much detail you're asked for when you move or reformat smallpack stock, and what a handful of product and drink fields default to. You'll find them under Settings -> Product settings -> General product settings.

Changes are saved with the button at the bottom of the page. The View recent changes to these settings button in the top right shows who changed what, and when.

Include draft orders in product quantity allocated to orders

Default: on. With this enabled, products on draft orders count towards the "Ordered" figure on a product, which in turn reduces its "Available" figure. Turn it off if you use draft orders as a scratchpad and don't want them holding stock back.

Two consequences are easy to miss:

• It also changes the stock figures Breww sends to your connected sales platforms and 3PL warehouses, not just what you see inside Breww. With the setting off, a draft order won't reduce the stock level shown on your website.
• When you change it, Breww recalculates the allocation for every draft order in the background, so the numbers can take a short while to settle.

Available stock to check planned packagings & delayed release stock

Default: on. When Breww checks whether there's enough stock for a specific order, it looks at that order's scheduled delivery (or invoice) date and counts stock that isn't packaged yet but is expected to be by then. That covers both:

• Planned packagings - drink you've scheduled to package.
• Delayed release stock - stock that is packaged but held back, for example while conditioning or maturing.

This is what lets you take pre-orders against a planned packaging. There's a full walkthrough in Pre-orders with planned packagings.

Turn it off and Breww only ever counts stock that physically exists today.

Show planned packaging stock as available on the same day as the planned packaging

This option only appears when the setting above is enabled.

Default: off, so planned stock becomes available the day after the planned packaging date. That's deliberately cautious: it assumes packaging scheduled for a given day might not be finished in time to go out the same day. Turn it on if you routinely package and dispatch on the same day.

Two details worth knowing:

• It applies to planned packagings only. Delayed release stock always becomes available on its own scheduled release date.
• If a planned packaging has its own expected release date set, that date is used and this setting doesn't come into it.

Changing this queues a background recalculation of every planned packaging, so give the figures a moment to catch up.

Choosing batches yourself when moving and reformatting smallpack stock

Three separate settings decide whether Breww asks you which smallpack packaging (and therefore which batch) to use when you move, reduce or reformat smallpack stock, or whether it picks for you. All three are on by default, meaning you choose the batch yourself.

Turning one off makes the form quicker to fill in, but you give up control over which batch is used, and your record of where each batch ended up becomes less precise.

Manually select specific batches when changing smallpack stock location

Applies when you move smallpack single or multi-pack stock to another location. With it on, you pick the exact smallpack packaging to move, with its batch and the quantity at that location shown alongside. With it off, Breww picks the first-expiring stock for you and you only choose the location and quantity.

Manually select specific batches when assembling or reducing smallpack stock

Applies in two places:

• Marking smallpack stock as lost or spoiled on a smallpack single or multi-pack. On, you pick the specific packaging that was lost. Off, you pick the location it was lost from.
• Assembling a product from smallpack singles. On, you pick the exact packaging to be consumed. Off, you pick a product and location and Breww chooses from it.

Manually select specific batches when manually disassembling smallpack

Applies when you disassemble a multi-pack by hand. With it on, you pick which multi-pack packaging to break down. With it off, Breww chooses the oldest stock automatically (first expired, first out).

Default tax rate for all new products

Sets which of your tax rates is pre-selected when you create a new product. The label on screen follows your local tax name, so you may see "Default VAT rate for all new products", "Default GST rate for all new products", and so on.

Changing this only affects products you create from now on. Existing products keep whatever rate they already have. The same default is also used to pre-fill the rate on new delivery charge structures, product aliases, credit note lines and additional invoice charges.

Default allergens for all new drinks

Free text that pre-fills the Allergens field when you create a new beer or drink, for example "Gluten". It's a starting point only, so you can change or clear it on the drink itself, and changing this setting never touches drinks you have already created.

Note that this applies to your beers and drinks, not to products. Products have their own allergens field, which overrides the one on the drink.

Decimal places for weights calculated from container types

Default: 1, and you can set anything from 0 to 4. When Breww calculates a product's weight from the weights on its container types, this is the maximum number of decimal places that calculated weight is rounded to, in your own weight units. On screen the setting reads "When product weights are calculated from container type weights, what is the maximum number of decimal places that should be used?".

This is the figure shown on export invoices, so it's worth matching whatever precision your customs paperwork expects. See How to generate export invoices with weights, Plato values and HS commodity codes.

Changing it recalculates the weights on all of your products in the background, so they may take a short while to update.

Default sales forecast

Tells Breww to base the stock availability forecast graph on each product's page on one of your saved sales forecasts, rather than on its automatic average-sales method. Leave it blank to keep the automatic method.

Changing or clearing it queues a background refresh of those cached graphs. There's more detail, including what the caption under the graph will show, in Products.
