# Managing production tasks and the production calendar

Two pages give you the whole brewery's [production tasks](https://breww.com/docs/production-tasks/) at once: the Production task assignment page, a list for working through who does what, and the production calendar, which lays everyone's work out day by day.

## The Production task assignment page

Go to **Tasks** -> **Production task assignment**, or click **Manage task assignment** on your production day. You need the **Assign production tasks** permission.

At the top is the card of [batches that need their tasks preparing](https://breww.com/docs/preparing-batch-production-tasks/). Below it, five headline counts describe the brewery's day: **Overdue**, **Unassigned**, **Due today**, **Done today** and **Closed today**. Click one to show those tasks in the list. The counts cover every task, whichever list you are looking at.

The list opens on **Open work**. The saved lists also include **Overdue and still open**, **Unassigned**, **Due today**, **Done today**, **Closed today** and **Closed by operators**. On a closed task, the list shows who closed it and the reason they gave. You can search by title, filter with [BrewwQL](https://breww.com/docs/introduction-to-brewwql/), and export as you would any other list in Breww. If you have more than one site, use the site selector in the page header to show one site's work.

### Assigning a task

Click the people in a task's **Assignees** cell (or **Unassigned**) to open the picker. Search for a person or group and select them to give them the task. For a task that belongs to a batch, **Assign across this batch** opens the batch's preparation grid, so you can sort out the whole batch in one go. Use **Clear** to unassign the task.

A task someone assigns by hand keeps that owner, whatever the [assignment rules](https://breww.com/docs/production-task-assignment-rules/) say.

### Marking a task urgent

Click the star button on a task to mark it urgent. Urgent tasks come first on your team's production day, under **Do these first**. Click the star again to clear it.

### Updating several tasks at once

Select the tasks you want to change, or use the checkbox in the header to select every task on the page. Then choose an action:

* **Assign** - choose **Users** and **User groups**, and whether to **Replace current assignees** or **Add to current assignees**.
* **Mark urgent** and **Clear urgent**.
* **Move due date** - choose a **New due date**. This moves when the task appears for your team, not the batch, transfer or packaging itself, so the moved tasks stop following the plan.
* **Reset due date to plan** - puts moved tasks back on the date the plan gives them.
* **Close** - close tasks nobody will be doing, with an optional **Reason** recorded against each one.

Tasks the action doesn't apply to are skipped, and Breww tells you how many and why. For example, only open tasks can be closed or moved, and a cancelled task can't be assigned.

## The production calendar

Go to **Tasks** -> **Production calendar**. Anyone with the **General production** permission can see it.

Choose **Week** or **2 weeks**, and use **Today** to come back to the current week. Each row is someone's work:

* **Assignment rules** - the [staffing plan rules](https://breww.com/docs/production-task-assignment-rules/) that cover the dates you're viewing. Standing rules aren't shown here: see them on the production task settings page, or open the staffing plan to see both together.
* **Unassigned** - work nobody has been given yet.
* **A row for each person or group** with work in the dates you're viewing.

Tasks on a batch are marked with the colour of the batch's drink. Completed tasks are green, and closed, cancelled and not-ready tasks are grey. If you have more than one site, the site selector in the header filters the tasks, rows and rules.

### Moving work

Drag an open task onto another day to reschedule it. The task then stops following the plan, and shows a pin icon on the task list until its date is reset. With the **Assign production tasks** permission, you can also drag a task onto another person's or group's row to give it to them. Only the person you dragged it from is swapped, so anyone else on the task keeps it.

A person or group only gets a row once they have a task in the dates you're viewing. To give someone their first task, open the task and assign it to them.

### Opening a task

Click a task to see its status, due date, batch, who it is assigned to and **Why**, which explains where that owner came from. The same buttons as on the production day let you open the work, close, reopen or assign it, and **Show this day** opens that day's production day.

### Work that isn't a task yet

Lighter, dashed entries are work Breww expects from the plan but that isn't a task yet:

* **Brew sheet, transfer and packaging work for batches that haven't been prepared**, or that are beyond your look-ahead window. Click one to see the batch, with **View batch** and **Prepare batch** (or **Edit assignments** for a batch that is already prepared).
* **Cleaning and maintenance expected from your schedules.** Time-based schedules are shown on their next due dates. Usage-based schedules are forecast from your production plan: vessels from their planned use and what is in them now, brewing systems from each batch's planned turns, and other equipment from its planned use on transfers and packagings, which is always shown as an estimate. Click one for **View equipment** and **View schedule**.

### Managing rules from the calendar

With the **Assign production tasks** permission, select one or more days on the **Assignment rules** row to add a staffing plan rule for those dates, or click a rule to edit it. Everyone else can click a rule to see a summary. The **Task assignment** menu in the header also opens **Manage task assignment**, the **Staffing plan** and the **Standing assignment rules**.
